CHECK-OUT, PAYMENT PROCEDURES, AND RULES. Office Hours and Staff Contact Our staff is best reached by telephone as our office hours change. If we are not in the office, we are in the community or somewhere nearby. Some of our staff lives on site so we are never too far away. Bernice’s cell: (916) 402-7732 In an Emergency - For any emergency situation that warrants a response by fire, police, or medical personnel, call 911. Once you have called 911, please alert us. Check-Out and Payment Procedures/Rules Check-Out - Guest check-out is at 9:00 a.m. Should you need to check out after 9:00 a.m., please contact the office and we will make every effort to accommodate your needs. Please be aware you may be charged for an additional day if you check-out after 9:00 am. To extend your departure date, a 48 day advance notice is required to extend your stay beyond the date initialed by the registered guest on the registration card at check-in. Please be aware that extension of your departure date is subject to availability. Payment Information - We require pre-payments for your stay. Failure to pay your term rate in advance will result in application of the nightly stated rate. During check-in, all guests will be required to supply photo I.D and credit card. This policy also pertains to prepaid reservations. Deposits will be refunded via check and may take 10-14 business days. Payment must be by credit card unless otherwise agreed upon. Abandonment/Personal Property – You must provide us notice of any absence from your cottage that is in excess of three (3) days. Any absence without notice, coupled with your failure to pay the applicable cottage charges when due, shall be deemed an abandonment of your cottage in accordance with state law. We reserve the right to gain possession of any abandoned cottage and dispose of personal property in such cottage in accordance with applicable law. Termination of Stays - Any failure to comply with the terms of your stay, including, without limitation, adhering to all our policies, paying all charges in a timely fashion, failing to register all occupants and pets, and/or engaging in illegal or disruptive activity will result in immediate termination of your stay and your eviction from the cottage in accordance with applicable state law. Additional Guests – Unless agreed upon otherwise, there is an additional fee for more than one guest in a studio or two guests in a one bedroom. Cancellation Policy – 24 hours for one day stay, one week for a one week stay, two weeks for a one month stay,and no cancellations for special promotional rates. No Smoking Policy General Rules and Regulations Guest Laundry - For your convenience, a coin operated Guest Laundry is available for your use and is accessible on a 24-hour basis. Washers and dryers require quarters to operate. Detergent is available for a fee from housekeeping services. Washers run 30-minutes cycle; dryers run 45 minute cycle. To ensure the safe operation of the washers and dryers, please call WEB Laundry Repair Services directly for any problems that you encounter with a machine. Their number is listed above every washer. Arden is not responsible for lost, stolen, or damaged property. Grilling- We have picnic areas and grills available for your use. Grilling in locations other than the picnic areas is prohibited and will lead to termination of your stay. Picnic area and grill hours are from 10:00 am to 10:00 pm daily. Please be considerate of the noise levels in these areas. Cottage Entry- Staff may enter your cottage for housekeeping, maintenance and repairs in accordance with applicable state law. They will have ID and nametags. Maintenance - For maintenance service requests, please contact the office. Routine maintenance needs will be serviced as soon as possible during standard office hours. Plungers are in every bathroom. You will be responsible for any extraordinary costs of repair, replacement or cleaning of your cottage. Appliances, Heater, Air Conditioning, Stove, Water Heater et al. - If for any reason, one of the above fixtures does not run properly, please shut the item off to prevent further damage. Notify the office at (916) 402-7732 or (916) 648-1839, and we will fix the damage. Quiet Hours - Please respect our “Quiet Hours” from 10:00 p.m. to 8:00 a.m. We ask that during these hours you keep noise and excessive or disruptive activity to a minimum in guest cottages, parking areas and in all other areas of our community. Failure to comply with this request may result in your eviction from the cottage in accordance with applicable state law. Vehicle Repairs - In consideration of guest safety, vehicle repairs or service are not allowed on the property. Vehicles with expired tags or in disrepair are subject to towing at the owner’s expense. Pets - We only have a few cottages available for pets. Our pet security deposit is a minimum of $500.00. If you have pets, it is the guest’s responsibility to cover all furniture. (Please ask for the covers if they are not in the cottage). Otherwise, there is $150.00 furniture cleaning charge .Also, we use a black lite to examine the carpet for animal secretions. (Carpet replacement is $ 750.00) We are sorry for being so strict, but our cottages are almost all new and our next guests expect them to be clean. Candles - For safety and liability reasons, our insurance policy does not allow candles to be lit in the cottages. Liability - Arden Acres is not responsible for accidents or injury to guests or visitors. Guests assume all liability for any injury or damages to themselves or their own personal property and injury or damages to other guests and their personal property that occurs on the premises. Guests will be responsible for indemnifying Arden Acres for any damages or losses caused by guest. Arden Acres is not responsible for damage to vehicles parked or located in the parking lot, or for loss of personal property from guests’ cottages or from vehicles parked or located in the driveways or cottage sites. Guest – Guests involved in illegal activities or disrupting or threatening other guest, visitor or employees will be immediately removed from the premises in accordance with state law. Firearms, other weapons or hazardous chemicals are strictly prohibited on the property. Safety Precautions Safety precautions are posted in your cottage. We urge you to follow these precautions:If you are concerned for your safety, do not open the door. Contact the office or police immediately. Our staff always has some form of identification. If you have any doubts about staff identity or purpose, please contact the office. Secure the deadbolt and the safety latch when in the cottage. This will prevent the cottage from being entered with a key. Your cottage windows are equipped with window opening restrictors to prevent entry through the windows. Never leave the cottage without closing and locking your window. When you enter or exit your cottage make sure the door closes securely. Safeguard your cottage key. Do not leave the key in the cottage or in the door. Do not give your key to others.
